Shipping & Inspection Policy
This Shipping & Inspection Policy explains the procedures applicable when merchandise is sold and shipped to Wave One Holdings LLC (“Wave One,” “we,” “us,” or “our”).
This Policy supplements our Seller Acquisition Terms and any transaction-specific terms agreed to between Wave One and the seller (“Seller”). If a transaction is conducted through an independent escrow provider, that provider’s applicable terms and procedures also apply.
1. Do Not Ship Until Authorized
Do not ship merchandise to Wave One simply because you submitted an item or received an offer.
Seller should ship only after:
- Wave One has made an offer;
- Seller has accepted the offer and applicable transaction terms;
- Any required escrow transaction has been established and funded; and
- Seller has received confirmation that the item is ready to be shipped.
For transactions using escrow, Seller should not ship until the escrow provider or Wave One confirms that Wave One’s funds have been secured and the transaction is ready for shipment.
Merchandise sent to Wave One without authorization may not be eligible for the protections or terms associated with an approved transaction.
2. Shipping Instructions
Once a transaction is ready for shipment, Seller will receive applicable shipping instructions.
These instructions may specify:
- Shipping destination;
- Approved carrier or service level;
- Insurance requirements;
- Signature requirements;
- Tracking requirements;
- Packaging requirements; and
- Any transaction-specific instructions.
Seller must follow the shipping instructions provided for the applicable transaction.
3. Tracking
All merchandise shipped to Wave One must have valid end-to-end tracking, unless Wave One expressly agrees otherwise in writing.
Seller must provide the tracking number promptly after shipment.
Tracking should identify the shipment from acceptance by the carrier through confirmed delivery.
4. Insurance
High-value collectibles should be appropriately insured during transit.
The amount and method of insurance may be specified in the applicable transaction instructions.
Seller should not assume that ordinary carrier liability automatically provides adequate protection for high-value collectibles.
If Wave One provides or purchases a shipping label, the insurance and coverage applicable to that label will be governed by the carrier, insurer, shipping provider, and transaction-specific terms.
5. Packaging Requirements
Seller is responsible for packaging merchandise carefully and appropriately for shipment.
Trading cards should generally be protected against:
- Bending;
- Crushing;
- Moisture;
- Movement within the package;
- Impact;
- Surface damage; and
- Tampering.
Sealed products should be packaged so that their boxes, seals, wrapping, corners, and other collectible surfaces are reasonably protected from shipping damage.
The shipping container should not unnecessarily advertise that valuable collectibles are inside.
For particularly valuable transactions, Wave One may provide additional packaging instructions.
6. Seller Documentation
We strongly recommend that Seller document the condition and packaging of high-value merchandise before shipment.
Seller should consider retaining:
- Clear photographs of the front and back of the item;
- Detailed photographs showing condition;
- Photographs of identifying features;
- Photographs of serial numbers, seals, or packaging where applicable;
- Photographs or video of the packaging process;
- Shipping receipt;
- Tracking information; and
- Insurance documentation.
Seller should retain this documentation until the transaction is fully completed.
Wave One may similarly photograph or record the opening and inspection of incoming high-value shipments for transaction verification, fraud prevention, security, and dispute documentation.
7. Delivery Does Not Constitute Acceptance
Carrier delivery confirmation does not mean that Wave One has accepted the merchandise.
Delivery begins the receipt and inspection process.
Wave One must have a reasonable opportunity to open, identify, authenticate, and inspect the merchandise before acceptance.
For transactions conducted through an escrow provider, the applicable inspection period will be established as part of the escrow transaction.
8. Inspection Period
Unless otherwise specified in the applicable transaction, Wave One generally expects to use an inspection period of approximately three (3) calendar days for escrow transactions.
The actual inspection period is the period stated in the applicable transaction or escrow agreement.
The inspection period generally begins upon confirmed receipt or delivery as determined under the applicable transaction terms.
Wave One may complete its inspection sooner.
9. What We Inspect
Wave One may inspect merchandise to confirm:
- The correct item was received;
- Authenticity;
- Edition, set, printing, language, variant, promotional designation, or other identifying characteristics;
- Serial or identification numbers, where applicable;
- Condition;
- Completeness;
- Packaging and seals;
- Evidence of resealing or tampering;
- Alterations or modifications;
- Restoration;
- Undisclosed damage;
- Consistency with Seller’s photographs;
- Consistency with Seller’s description and disclosures; and
- Compliance with the agreed transaction terms.
Inspection may include reasonable magnification, lighting, measurement, comparison against known authentic examples, database/reference research, or other non-destructive examination methods reasonably appropriate for the merchandise.
10. Condition
Collectible condition can involve judgment.
Wave One will evaluate whether the merchandise materially corresponds to the condition, photographs, descriptions, disclosures, and other representations upon which our offer was based.
Minor differences that are reasonably apparent from photographs or previously disclosed will not necessarily result in rejection.
However, undisclosed issues that materially affect the item’s authenticity, desirability, condition, or value may result in rejection or a revised offer where permitted.
Examples may include:
- Creases;
- Dents;
- Indentations;
- Surface damage;
- Scratches;
- Water damage;
- Staining;
- Significant edge or corner damage;
- Alterations;
- Trimming;
- Recoloring;
- Restoration;
- Resealing;
- Missing components;
- Counterfeiting; or
- Other material defects not disclosed before the offer.
11. Authentication
Wave One may conduct its own authentication review and may, when appropriate, consult third-party experts, authentication services, grading companies, manufacturers, databases, or other resources.
Unless expressly agreed otherwise, Wave One’s inspection is conducted for purposes of determining whether Wave One will accept the merchandise under the applicable purchase transaction.
It is not an independent appraisal or certification provided to Seller.
12. Successful Inspection
If merchandise materially conforms to the agreed transaction terms, Wave One will accept the item.
For transactions conducted through an independent escrow provider, Wave One’s acceptance will allow the transaction to proceed toward release of the escrowed purchase funds according to the provider’s procedures.
The escrow provider—not Wave One—releases escrowed funds to Seller.
Processing and banking times may vary after funds are released.
13. Items That Do Not Pass Inspection
If merchandise materially differs from what was represented or agreed upon, Wave One may reject the merchandise in accordance with the applicable transaction terms.
Examples include receiving:
- A counterfeit item;
- A different item;
- An incorrect edition or variant;
- Materially worse condition than represented;
- An altered or restored item that was not disclosed;
- Resealed merchandise;
- Merchandise with undisclosed material damage;
- An incomplete product where completeness was represented; or
- Merchandise materially inconsistent with the photographs or information submitted by Seller.
When appropriate, Wave One may instead offer Seller a revised purchase price.
Seller is under no obligation to accept a revised offer unless otherwise provided by the applicable transaction terms.
If Seller declines a revised offer, the transaction will proceed according to the applicable return and escrow procedures.
14. Rejected Merchandise and Returns
If merchandise is rejected during a valid inspection period, Wave One will follow the applicable transaction and escrow provider procedures for returning the merchandise.
Returned merchandise should be sent using a trackable method and appropriately insured based on its value and the applicable transaction requirements.
Responsibility for return shipping, insurance, escrow fees, and related costs will be determined by the applicable transaction terms and third-party provider rules.
Wave One will not intentionally retain both rejected merchandise and the corresponding purchase funds.
Where escrow is used, refunds and return procedures remain subject to the independent escrow provider’s rules.
15. Shipping Damage
If merchandise appears to have been damaged during transit, Wave One may document:
- Exterior packaging;
- Interior packaging;
- Damage to the merchandise;
- Tracking information;
- Delivery condition; and
- Other evidence reasonably relevant to an insurance or carrier claim.
Wave One will notify Seller of material shipping damage discovered during inspection.
The parties will follow the applicable carrier, insurance, escrow, and transaction procedures.
For this reason, Sellers should retain all shipping and pre-shipment documentation until the transaction has been completed.
16. Lost Shipments
If a shipment is lost or materially delayed in transit, the parties will follow the procedures of the applicable carrier, insurer, escrow provider, and transaction agreement.
Neither a tracking number nor shipment alone constitutes delivery or acceptance by Wave One.
Seller should not discard receipts, insurance documentation, or proof of shipment until payment has been completed.
17. Unsolicited Merchandise
Do not send merchandise to Wave One without an approved transaction and shipping instructions.
Submitting photographs through our website does not authorize physical shipment.
Wave One makes no guarantee that unsolicited merchandise will be evaluated, purchased, or accepted.
If unsolicited merchandise must be returned, the sender may be responsible for reasonable return shipping and insurance costs to the extent permitted by law.
18. Risk of Fraud
Wave One may photograph, video record, document, or otherwise maintain records of incoming packages and merchandise for security, authentication, transaction verification, and fraud-prevention purposes.
If Wave One reasonably suspects that merchandise is stolen, counterfeit, intentionally misrepresented, or connected to fraudulent or unlawful activity, we may suspend the transaction and take actions permitted by our Seller Acquisition Terms, applicable escrow terms, and law.
19. Escrow Provider Terms
When an independent escrow provider is used, the transaction is also subject to that provider’s terms and procedures.
Those terms may govern matters including:
- Funding;
- Shipment;
- Delivery confirmation;
- Inspection periods;
- Acceptance;
- Rejection;
- Returns;
- Disputes;
- Refunds; and
- Release of funds.
If the escrow provider’s mandatory procedures conflict with this Policy for an escrow transaction, the applicable escrow provider procedures will control to the extent necessary to administer that transaction.
20. No Guarantee of Carrier or Third-Party Performance
Wave One does not control independent shipping carriers, insurers, escrow providers, authentication services, or other third-party providers.
Delays, service interruptions, coverage determinations, claims, or other matters involving those providers may be subject to their respective terms.
Nothing in this Policy limits rights or responsibilities that cannot legally be limited.
21. Relationship to Seller Acquisition Terms
This Policy forms part of Wave One’s seller transaction framework and should be read together with our:

Acceptance of an offer may require Seller to separately acknowledge the applicable Seller Acquisition Terms and transaction-specific requirements.
